Job Description
Urban CGI is an Australian-founded and internationally expanding technology solutions company that transforms design, training and projects using CGI simulation.
• Training Simulation – convert procedures, inductions and competencies into LMS linked, micro-credentialled, interactive CGI training sims for high retention, efficiency and engagement
• Project Simulation – build CGI sims to make design projects move faster with assured validation, verification, integration, operations, construction, engagement and approvals

About the role
We are seeking a highly organised and detail-oriented General Virtual Assistant to support our team with various administrative tasks.
The ideal candidate must have solid experience in documentation, particularly in converting and managing content, from PowerPoint to Microsoft Office applications and on other similar platforms. The ideal candidate will also be responsible for creating visually appealing layouts and designs for various print and digital materials.
This role requires excellent communication skills, proficiency in MS Office software and desktop publishing software and the ability to work independently.
Responsibilities:
• Assist in the preparation and conversion of presentations from PowerPoint to Word formats, ensuring accuracy and consistency in documentation
• Design and produce high-quality printed materials, including brochures, flyers, newsletters, and reports
• Collaborate with the marketing and delivery teams to develop engaging content and layouts
• Utilise desktop publishing software (such as Adobe InDesign, Illustrator, and Photoshop) to create and edit documents
• Ensure consistency in branding and adherence to style guidelines across all published materials
• Review and proofread documents for accuracy, clarity, and visual appeal
• Manage and organise digital files, ensuring that all documents are easily accessible and properly labeled
• Conduct research and compile information as needed for various projects
• Maintain confidentiality and handle sensitive information with discretion
• Manage multiple projects simultaneously, meeting deadlines and maintaining high standards of quality
Reporting directly to the CEO, this is a remote-based role.
About you

Skills and Requirements
• Bachelor’s degree in Graphic Design, Communications, or a related field preferred
• At least three years proven experience as a Virtual Assistant
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and desktop publishing software (Adobe InDesign, QuarkXPress, Canva, etc.)
• Experience in desktop publishing or graphic design, a plus (with a strong portfolio showcasing previous work)
• Detail-oriented, highly organised, and able to manage multiple projects simultaneously
• Excellent written and verbal communication skills
• Reliable and results-driven
• Ability to work collaboratively in a team environment and communicate effectively with stakeholders
• Ability to multitask and prioritise in a fast-paced environment
• Ability to work during Australian business hours
