Job Description
Manage and maintain document control systems and databases.
Ensure all documents are properly stored and easily accessible.
Maintain document version control and ensure the latest versions are available.
Coordinate with various departments to ensure document accuracy and completeness.
Provide support during internal and external audits.
Ensure compliance with regulatory and company standards.
Train staff on document control procedures and systems.
Develop and implement document control policies and procedures.
Monitor and track document review and approval processes.
Generate reports on document control activities and status.
Assist in the preparation of documentation for projects and proposals.
Ensure confidentiality and security of sensitive documents.
Review and update documents for accuracy and completeness.
Coordinate document distribution and retrieval processes.
Maintain records of document requests and retrievals.
Ensure proper labeling and indexing of documents.
Assist in the development of document templates and forms.
Provide technical support for document management software.
Collaborate with IT to resolve document control system issues.
Stay updated on industry best practices and regulatory changes.
Requirements:
Bachelor's degree in Business Administration, Information Management, or related field.
Minimum of 3 years of experience in document control or records management.
Proficiency in document management software and systems.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
