We are seeking a highly organized and detail-oriented Virtual Assistant/Dispatcher to assist with freight dispatching and related administrative tasks. The role involves coordinating the movement of freight, setting appointments, managing deliveries, and ensuring smooth communication between carriers and clients. This position requires a proactive, independent worker with strong communication skills and attention to detail, who can effectively manage and track shipments in real-time.

What you’ll be doing:
Dispatching & Scheduling:
Coordinate freight movement by scheduling pickups and deliveries based on customer requirements.
Locate and secure carriers for freight within the customer’s time and budget requirements.
Monitor and track shipments via transportation management systems (TMS) and e-tracking tools.
Communicate with carriers and clients to ensure timely pickup and delivery of loads.
Maintain consistent communication with carriers to manage appointments and address any changes or issues in transit.
Load Management:
Assist in building loads into the TMS system.
Ensure that all necessary load data is accurately input into spreadsheets and tracking tools.
Monitor and oversee approximately 50 loads per week, ensuring all logistics details are accounted for.
Customer Communication & Support:
Provide excellent customer service by promptly responding to client inquiries and providing updates on shipment statuses.
Keep customers informed of any delays, issues, or changes related to their shipments.
Work closely with clients to meet specific requirements for loads and carriers.
Administrative & Data Entry:
Manage administrative tasks related to dispatching, including updating spreadsheets and ensuring accurate data entry for each load.
Assist in other administrative duties such as appointment setting, load building, and check calls on trucks.
Ensure all documentation is correctly filed and available for tracking and reporting.

Qualifications and Requirements:
Dispatching & Logistics Knowledge:
Experience in dispatching within a freight brokerage or logistics environment.
Familiarity with Transportation Management Systems (TMS) and load tracking tools.
Experience with load scheduling, carrier coordination, and appointment setting.
Strong Communication Skills:
Excellent verbal and written communication skills to effectively liaise between clients, carriers, and internal teams.
Ability to handle customer service inquiries and provide clear, professional updates on shipments.
Attention to Detail & Organization:
Exceptional attention to detail, especially when inputting and tracking load data.
Strong organizational skills to manage multiple loads and dispatch tasks simultaneously.
Technological Proficiency:
Proficient in Microsoft Excel or Google Sheets for data management and tracking.
Ability to quickly learn and adapt to new software and e-tools for freight tracking and communication.
Awareness of cybersecurity protocols and the importance of safeguarding client information.
Problem-Solving Ability:
Strong decision-making skills to resolve issues related to scheduling, delays, or carrier changes.
Ability to think on your feet and adjust plans quickly when unexpected situations arise.

Preferred Experience:
Prior experience working with freight brokerage companies, particularly in refrigerated freight.
Familiarity with load-tracking apps and e-tools for real-time monitoring.
Experience handling multiple clients or accounts within a logistics setting.
