Job Description

DUTIES & RESPONSIBILITIES
a. Job Summary:
To organize all clerical activities in the managed property and facilitate
and coordinate different property management services and functions for
property owners and tenants, including but not limited to billing and
collections.
b. Functional Duties & Responsibilities:
1. Assure that all documents are filed in an orderly way in accordance
with the standard filing system.
2. To ensure that all meetings are properly coordinated to avoid
scheduling conflicts. Responsible for making reservations for the
property's common facilities.
3. In compliance with the Data Privacy Act, keep an updated record of
all names, addresses, telephone numbers and other pertinent
information regarding unit owners, / tenants, contractors and other
persons related to the property.
4. Responsible in updating the 201 property system files pertaining to
tenants, unit owners, contractors, and other relevant parties.
5. Create all purchasing requisitions, purchase orders, and payment
requests, as well as monitor delivery requests in accordance with the
property's purchasing requirements.
6. Assist the PM/PA in monitoring compliance with government regulations
and remind them of deadlines.
7. Maintain and monitor inventory system and ensure that the assets of the
property are accounted for through the use of the asset monitoring
sheets.
8. Provides outstanding customer service and satisfaction to internal and
external customers (e.g., being courteous at all times, offering quality
and accurate service, and providing immediate response).
9. Support in billing and collecting to ensure that payments are received
and an OR is issued.
