Job Description

Job Descrip�on: Sales Administrator
Posi�on Overview:
A Sales Administrator plays a crucial role in suppor�ng the sales team and ensuring the efficient
opera�on of the sales department. This role involves a combina�on of administra�ve tasks,
communica�on, and coordina�on to facilitate smooth sales processes and enhance customer
sa�sfac�on. The Sales Administrator works closely with sales representa�ves, customers, and internal
departments to provide administra�ve support and maintain accurate sales records.

Key Responsibili�es:

1. Order Processing:
- Receive and process sales orders from customers, ensuring accuracy and completeness.
- Coordinate with various departments to ensure �mely order fulfillment and delivery.
- Track orders to ensure on-�me delivery and resolve any issues that may arise.

2. Customer Communica�on:
- Act as a point of contact for customer inquiries, addressing ques�ons and concerns promptly and
professionally.
- Provide product informa�on, pricing details, and order status updates to customers.
- Assist in resolving customer complaints and issues in a �mely manner.

3. Sales Support:
- Prepare sales quotes, proposals, and contracts based on the input from sales representa�ves.
- Assist in preparing sales presenta�ons and materials for client mee�ngs.
- Maintain a clear and organized record of sales-related documents and communica�ons.

4. Data Entry and Record Keeping:
- Maintain accurate and up-to-date customer and sales records in the CRM (Customer Rela�onship
Management) system.
- Enter sales data, update customer informa�on, and track sales ac�vi�es.

5. Repor�ng:
- Generate regular and ad-hoc sales reports for management and the sales team, providing insights
into performance, trends, and opportuni�es.

6. Administra�ve Tasks:
- Manage calendars and schedules for sales representa�ves, arranging appointments and mee�ngs as
needed.
- Handle administra�ve tasks such as filing, faxing, mailing, and correspondence.

7. Inventory Management:
- Assist in monitoring inventory levels and coordina�ng with the inventory team to ensure product
availability for orders.

8. Sales Team Coordina�on:
- Collaborate with sales representa�ves to ensure they have the necessary materials and informa�on
to effec�vely engage with customers.
- Facilitate communica�on and coordina�on between sales and other departments, such as marke�ng
and finance.

9. Training and Onboarding:
- Assist in training new sales team members on administra�ve processes and CRM system usage.

Qualifica�ons and Skills:

- Associate's or bachelor's degree preferred.
- Proven experience in administra�ve or support roles, preferably in a sales environment.
- Excellent communica�on and interpersonal skills.
- Proficiency in using CRM so�ware and Microso� Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organiza�onal skills with the ability to mul�task and priori�ze effec�vely.
- Aten�on to detail and accuracy in data entry and record keeping.

- Customer-focused mindset with the ability to handle customer inquiries and concerns professionally.
- Problem-solving skills and the ability to work under pressure.
- Strong teamwork and collabora�on skills.
