Job Description

An effective EA for this position should be someone who’s responsible, good at organizing things, good memory, keen to details and proactive.

The EA is expected to be the point of contact to represent the COO from internal and some external stakeholders meeting. He/she is also expected to be proficient in English, good in collaboration, extremely organize and knows how to work well across different leaders within the organization.
Responsibilities

Daily
1. Attend meetings on behalf of the COO whenever his schedule does not permit him to do so, then give summarized report to COO.
2. Point of contact to the COO to receive reports, project status updates, schedule availability and booking meetings.
3. Monitor and follow-up people in charge of certain deadlines instructed or delegated by the COO.
4. Full-time availability between 10am-7pm from M-F, in very rare occasions the EA shall still be required to do work outside working hours.
Weekly
1. Review and prepare summarized reports across different departments and give briefing to the COO.
2. Gather weekly company reports from different subsidiaries and highlight important points to be discussed in meetings by the COO.
3. Perform proper recording of minutes of the meeting and highlight key action plans to be monitored.
4. Proactively follow up employees and other stakeholders to meet target deadlines.
5. Arrange and propose advanced weekly schedule to the COO.
Monthly
1. Compile company’s monthly performance reports and highlight delays or unperformed tasks to be presented to the COO.
2. Join monthly company meetings with the COO and record the minutes of the meeting.
General

1. Maintain a level of professionalism among the employees and external clients.
2. Review minutes and writing them up subsequently and be the point-person to proactively follow- up all the action plans/decision made in the meetings.
3. Uphold a strict level of confidentiality on a need-to-know basis only.
4. Perform other office general tasks required by the COO such as calendar scheduling, bookings, minor research on certain topics and the likes.
