Job Description

GENERAL DESCRIPTION:
Attends to proper facilitation and conduct of policies and procedures of the Purchasing & Office Administration Sections through the following;
Works in conjunction with the Crewing Department with regard to processing applicants with and without sea service experience;
Attends to proper facilitation and conduct of policies and procedures of the purchasing & Office Administration Section through the following;
Works in conjunction with the Operations Division in facilitating hiring and screening procedures for applicants with or without experience.
Attends to proper facilitation and conduct of policies and procedures of the Personnel Section
Foremost in charge of monitoring external and internal documents in conjunction with other document custodians.
Maintains the Master List of Documents and Data and coordinates changes to copyholders.
OTHER RELATED FUNCTIONS:
· Administers Supplier Reviews
· Administers Office Purchases
· Approves, authorizes, and when applicable endorses to management purchase requests as documented by Requisition Slips
· Ensures that purchases are made with duly approved subcontractors and when applicable canvassed with unlisted subcontractors as required or as necessary.
· Ensures that all purchases are carried out as specified.
· Conducts preliminary standard competency requirements for crew screening
· Maintains applicant pool database
· Facilitates technical examination assessment procedure
· Acts as a non-technical panel member during panel interview of applicants
· Facilitates performance monitoring of utility program participants
· Monitors deployment program of utility program participants
· Ensures the proper and prompt filing of leave applications;
· Maintains attendance records of the employees
· Monitors daily time record
· Facilitate Hiring Procedures for Office Positions
· Maintains 201 files of office employees
· Facilitate Performance Appraisal in coordination with the Business Management Manager and Administration Supervisor.
· Assists in the preparation of the annual Training Plan in coordination with the Business management Manager and Administration Supervisor
· Updates following Company Manuals in coordination with Document Controller, QMD
